PER Job Upload creates and updates jobs from Excel, the way the Job window (Define Job) does: job group, name, dates, approval authority, additional employment rights, benchmark job and the Additional Job Details flexfield. It downloads the jobs of a business group for editing, saves each row with the same validations as the Job window, and returns a result report with the outcome of every row.
When to use it
- Set up the jobs of a new business group or job group in one step.
- End many jobs at once by entering their Date To.
- Rename jobs, or change their approval authority and benchmark jobs.
- Fill in or correct the Additional Job Details flexfield of many jobs.
Before you start
- You are signed in to a responsibility with access to the Job window and to the upload in Blitz Report.
- The job groups exist, and the Job flexfield structure of each job group is defined.
- A job you link as a benchmark job is marked as a benchmark job.
Choose a template
The default template is Default.
| Template | Use it for |
|---|---|
| Default (default) | The fields of the Job window, without the flexfield. |
| Create Jobs | An empty sheet for new jobs. Upload Mode is locked to Create and the Job Group, Job and Active Jobs Only filters are hidden. |
| Flexfields | The Additional Job Details flexfield of each job, with the Job Group and Name that identify it. |
Step 1 – Set the parameters
Open PER Job Upload in Blitz Report, choose the template and set the parameters. They decide which jobs are downloaded.
| Parameter | Meaning |
|---|---|
| Upload Mode | Create gives you an empty sheet. Create, Update (default) also downloads the existing jobs. |
| Business Group | The business group of the jobs. Defaults to your HR:Business Group profile and is also the business group of new rows. |
| Job Group | Restricts the download to the jobs of the job group. The list shows the job groups of the business group and the global job groups. |
| Job | Restricts the download to the job. |
| Active Jobs Only | Yes leaves out jobs whose Date To has passed. |
Step 2 – Run to download the Excel file
Click Run. With Create, Update, the file has one row per job. Job Group and Name stay in view while you scroll, and Business Group is read-only. With Create, the sheet is empty and new rows take the business group from the parameter.
Step 3 – Enter the jobs
Change the downloaded rows, or add rows for new jobs.
- Job Group – the job group of the job, which decides the structure of its name. It defaults to the job group of the business group and cannot be changed on an existing job.
- Name – the segments of the Job flexfield, joined by the delimiter of the job group’s structure, for example GACC.Global Accountant. A name that does not exist in the job group creates a job. Changing the name on a downloaded row renames the job.
- Date From (required) and Date To. A Date To ends the job.
- Approval Authority – a number of 0 or more.
- Additional Employment Rights – Yes or blank.
- Benchmark Job – Yes marks the job as a benchmark job.
- Benchmark Job Name – the benchmark job this job is linked to. The list shows the jobs of the business group that are marked as benchmark jobs. A benchmark job cannot be linked to another benchmark job.
Clearing a cell on a downloaded row clears the value in Oracle. In the Flexfields template, enter the context in Job Attribute Category; the attribute columns show the segment prompts of your Additional Job Details setup.
Step 4 – Validate and Save
Click Validate and Save. This checks for missing required values and for values that are not in their lists, marks the rows Valid and saves the file. Correct any rows it flags before uploading.
Step 5 – Upload the file
In Blitz Report click Upload and select the saved file. The upload request processes the rows in order. Each row is saved or rejected on its own, so a rejected row leaves nothing behind and does not affect the other rows.
Step 6 – Review the result report
When the request completes, a result report opens listing every uploaded row with its status and a message, Job created., Job updated. or No change., or the reason the row was rejected. The result report shows the values as they were saved in Oracle.
What’s produced
- Jobs created and updated as the Job window saves them, including the Additional Job Details flexfield.
- A row that fails leaves nothing behind and does not affect the other rows.
- A result report listing every row with a status (success or error) and a message.
Common questions
Can I delete a job?
No. Enter a Date To to end the job. Clearing the Date To makes the job active again.
How do I rename a job?
Change the Name on the downloaded row. The downloaded row identifies the job, so the new name replaces the old one.
Can I update a job without downloading it first?
Yes. A row whose Job Group and Name match an existing job updates that job instead of creating a new one.
Can I move a job to another job group?
No. As in the Job window, the job group of an existing job cannot be changed. Create the job in the other job group instead.
What happens to the valid grades of a job when I change its dates?
Oracle adjusts the job’s valid grades to the new Date From and Date To.
Can I maintain evaluations, requirements or valid grades?
No. Maintain them in the Job window.
How do I enter descriptive flexfield values?
Use the Flexfields template. Its attribute columns show the segment prompts of your flexfield setup.
