EAM Asset Number Upload  Help

EAM Asset Number Upload creates and updates Oracle Enterprise Asset Management (eAM) asset numbers – the maintainable assets you raise work orders against – from Excel, through the standard Oracle EAM public API. It maintains the asset attributes of the Asset Numbers window, the link to a fixed asset and the asset’s position in the asset hierarchy. It does not create fixed assets.

When to use it

• Create the asset numbers of a newly installed or acquired fleet of equipment at once instead of one at a time in the Asset Numbers window.
• Bulk-update asset attributes such as description, asset category, owning department, criticality, WIP accounting class, area, warranty expiration and active dates.
• Move assets in the asset hierarchy by changing or clearing their Parent Asset Number.
• Link assets to existing fixed assets, or remove the link, for many assets at once.
• Maintain the production equipment (equipment item and serial number) of many assets.

Before you start

• You use a responsibility with access to the eAM-enabled maintenance organization.
• The asset group (or rebuildable item) exists as a serial-controlled eAM item in the organization.
• Reference data you want to enter exists: asset categories, departments, WIP accounting classes, areas, property locations, fixed assets.

Step 1 – Set the parameters

Open EAM Asset Number Upload in Blitz Report and set the parameters:

Restrict the download with at least one of the parameters to keep the file small.

Step 2 – Run to download the Excel file

Click Run. The Excel file downloads and opens with one row per asset number, or an empty sheet.

Step 3 – Enter or change the asset numbers

Enter the Organization and Asset Number on each row. A downloaded row is identified by its Asset ID, so changing its Asset Number renames the asset. A row you add updates the asset with that Asset Number if one exists, and otherwise creates it. On a new row also enter the Asset Group and Asset Serial Number; both are required to create an asset and cannot be changed afterwards. The serial number is created with the asset.

Enter or change the attributes: Description, Asset Category, Owning Department, Criticality, Wip Accounting Class, Area, the Maintainable, Asset Route and Operation Log flags, Warranty Expiration, Active Start Date and Active End Date. Maintainable defaults to Yes and Active Start Date to today on new assets.

Production Organization, Equipment Item and Equipment Serial Number link the asset to production equipment. Property Location Code links it to a Property Manager location, and Fa Asset Number with Fa Synchronized to a fixed asset; clearing Fa Asset Number removes the fixed asset link. Current Location Address lists the addresses of the TCA locations, as the Update Asset page does; an address that exists more than once carries the location id in brackets. A changed address becomes the location of the asset, and an address once set cannot be cleared.

Parent Asset Number places the asset under another asset of the organization in the asset hierarchy; clearing it removes the parent. Asset ID, Asset Type, Asset Status, Parent Asset Serial Number and Parent Asset ID are read-only.

Step 4 – Validate and Save

Click Validate and Save. This checks for missing required values and saves the file. Correct any rows it flags before uploading.

Step 5 – Upload the file

In Blitz Report click Upload and select the saved file. This submits the upload request, which creates or updates the asset number of each row.

Step 6 – Review the result report

When the request completes, a result report opens listing every uploaded row with its status and message.

What’s produced

• Asset numbers created or updated in the maintenance organization, as shown in the Asset Numbers window, including their parent in the asset hierarchy.
• A result report listing every row with a status (success or error) and a message.

Common questions

What decides between create and update?
A downloaded row updates the asset it was downloaded from, identified by its Asset ID, also after you change its Asset Number. A row you add updates the asset with that Asset Number if one exists; otherwise it creates the asset.

Can I change the Asset Group or Asset Serial Number of an existing asset?
No. Both identify the asset and are fixed once it exists, as in the Asset Numbers window.

Can I change the Asset Route flag later?
No. Asset Route is set when the asset is created; a changed value on an existing asset is ignored.

Does it create fixed assets?
No. It links an asset number to an existing fixed asset through Fa Asset Number.

Can I delete an asset number?
No. Set an Active End Date instead.

A re-uploaded row says “No changes detected.” – is that an error?
No. The row matched the stored values, so nothing was updated.
