GL Budget Account Range Upload

Description

GL Budget Account Range Upload creates, changes and deletes the account ranges of General Ledger budget organizations from Excel, as the Ranges region of the Define Budget Organization window does. Each row is one line of a budget organization, with its account range, entry type and currency, and optionally its budgetary control options and descriptive flexfield. After the upload, Assign Budget Account Ranges assigns the accounts of the new ranges to their budget organizations.

When to use it

  • Set up the account ranges of new budget organizations, for example one per department or cost center.
  • Copy or extend the ranges of an existing budget organization in Excel.
  • Maintain the budgetary control options (funds check level, amount type, boundary, funding budget) of many ranges at once.
  • Renumber or delete lines.

Before you start

  • The budget organization is defined (Budgets > Define > Organization). The upload maintains its ranges, not the organization itself.
  • You have access to the ledger in Blitz Report (ledger access follows the GL data access set of your responsibility), and modify access to the budget organization if its definition access security is enabled.
  • For budgetary control options: budgetary control is enabled for the ledger, and the funding budget requires budget journals.

Choose a template

TemplateUse it for
Default (default)Account ranges: line, accounts, entry type and currency, and deleting lines.
Budgetary ControlAccount ranges with their budgetary control options, one row per funding budget.
Descriptive FlexfieldThe descriptive flexfield of the account ranges.

Step 1 – Set the parameters

Open GL Budget Account Range Upload in Blitz Report, choose the template and set the parameters:

ParameterMeaning
LedgerThe ledger of the budget organizations. Defaults to the ledger you used last, or your default ledger.
Upload ModeCreate opens an empty sheet; Create, Update downloads the existing ranges for editing.
Budget OrganizationDownload the ranges of one budget organization only.

Step 2 – Run to download the Excel file

Click Run. The Excel file opens with one row per line of the budget organization, or an empty sheet in Create mode.

Step 3 – Enter or change the lines

Each new row needs the Ledger, Budget Organization, Line, Account Low, Account High, Entry Type and Currency. Enter Account Low and Account High with all segments, separated by the segment delimiter of the chart of accounts (for example 01-790-0000-0000-000). Currency defaults to the ledger currency; a Calculated line takes the ledger currency or STAT.

  • The account range, Entry Type and Currency of an existing line cannot be changed: delete the line and create a new one. Line can be changed.
  • Set Delete Range to Yes to delete a line, with its account assignments and budgetary control options.
  • In the Budgetary Control template, enter Funds Check Level, Amount Type, Boundary and Funding Budget for entered lines in the ledger currency. A line with several funding budgets takes one row per funding budget; Delete Funding Budget removes the funding budget of the row from the line.

Step 4 – Validate and Save

Click Validate and Save on the Blitz Report tab. This checks for missing required values and values not in their lists, marks the rows Valid and saves the file.

Step 5 – Upload

Click Upload on the Blitz Report tab. This sends the valid rows to Oracle and submits the upload request.

Step 6 – Review the result

When the request completes, the add-in writes the result to the sheet: every row with its status and message, and the stored values. Assignment Request shows the Assign Budget Account Ranges request submitted for each budget organization with new lines; Range Status shows Adding until that request has assigned the accounts.

What’s produced

  • New, renumbered or deleted lines of the budget organizations, with their budgetary control options and descriptive flexfield.
  • An Assign Budget Account Ranges request per budget organization with new lines, which assigns the accounts of the new ranges.
  • The result in the Excel file: every row with a status (success or error) and a message.

Common questions

Why does my new line have no accounts assigned?
Accounts are assigned by Assign Budget Account Ranges after the upload, and only account combinations that exist are assigned. Check the request shown in Assignment Request.

How do I change the account range of a line?
Delete the line and create a new one, as in the Define Budget Organization window.

Why are the budgetary control columns empty or not selectable?
Budgetary control options are available only for entered lines in the ledger currency of a ledger with budgetary control enabled.

Why is my budget organization not in the list?
The list shows the budget organizations of the ledger that you may modify, without the ALL organization and organizations being deleted.
