PER Previous Employment Upload creates, updates and deletes the previous employers of employees and the jobs they held there from Excel, the way the Previous Employment window of the People form does. It downloads the previous employment of a business group or an employee for editing, saves each row with Oracle’s standard validations, and returns a result report with the outcome of every row.
When to use it
- Record the employment history of new hires in one step, for example from a recruiting system or an acquisition.
- Correct employer names, addresses, countries, types and periods of service of many employees at once.
- Add the jobs an employee held at a previous employer, with their employee category and period.
- Delete previous employers or jobs that were entered by mistake.
- Maintain the Additional Previous Employer Details and Additional Previous Job Details flexfields.
Before you start
- You are signed in to a responsibility with access to the business group and to the upload in Blitz Report.
- The employees exist in the business group with an employee number. New employees are loaded with the PER Person Upload.
- The employer types, employer subtypes and employee categories you want to use are enabled in their lookups.
Choose a template
The default template is Default.
| Template | Use it for |
|---|---|
| Default (default) | Previous employers and their jobs with the fields of the Previous Employment window, without the descriptive flexfields. |
| Create Previous Employment | An empty sheet for new previous employers and jobs. Upload Mode is locked to Create and the download filters are hidden. |
| Flexfields | The Additional Previous Employer Details and Additional Previous Job Details flexfields, with the columns that identify the employer and the job. |
Step 1 – Set the parameters
Open PER Previous Employment Upload in Blitz Report, choose the template and set the parameters. They decide which previous employment is downloaded.
| Parameter | Meaning |
|---|---|
| Upload Mode | Create gives you an empty sheet. Create, Update (default) also downloads the existing previous employers with their jobs. |
| Business Group | The business group. Defaults to the business group of your responsibility and is also the business group of new rows. |
| Employee Number | Restricts the download to the previous employment of the employee. |
| Employer like | Restricts the download to the employers whose name matches, ignoring upper and lower case. Use % as a wildcard. |
Step 2 – Run to download the Excel file
Click Run. With Create, Update, the file has one row per previous employer and job: an employer without jobs has one row, and the employer columns repeat on every row of its jobs. Full Name and Business Group are read-only. With Create, the sheet is empty.
Step 3 – Enter the previous employers and jobs
Change the downloaded rows, or add rows for new previous employers and jobs. Repeat the employee and employer values on every row of the employer’s jobs.
- Employee Number – the employee in the business group. Full Name is filled in from it.
- Employer, Employer Start Date and Employer End Date – the previous employer and the period worked there.
- Employer Address, Employer Country, Employer Type and Employer Subtype. Employer Subtype lists the subtypes of the Employer Type.
- Employer Years, Employer Months and Employer Days – the period of service, and Employer Description.
- Employer All Assignments and Job All Assignments – Yes applies the previous employer or job to all assignments of the employee, as the All Assignments check box of the window does.
- Job, Job Start Date, Job End Date, Employee Category, Job Years, Job Months, Job Days and Job Description – a job held at the previous employer. Its dates must lie within the employer’s dates. Leave the job columns blank on a row that maintains the previous employer only.
- Delete Employer or Delete Job – Yes deletes the previous employer together with its jobs, or the job only.
Step 4 – Validate and Save
Click Validate and Save. This checks for missing required values and for values that are not in their lists, marks the rows Valid and saves the file. Correct any rows it flags before uploading.
Step 5 – Upload the file
In Blitz Report click Upload and select the saved file. The upload request processes the rows in order. Each row is saved or rejected on its own, so a rejected row leaves nothing behind and does not affect the other rows.
Step 6 – Review the result report
When the request completes, a result report opens listing every uploaded row with its status and a message naming what was created, updated or deleted, for example Previous employer created. Previous job created., or the reason the row was rejected. The result report shows the values as they were saved in Oracle.
What’s produced
- Previous employers and previous jobs of the employees, saved with the validations of the Previous Employment window.
- Each row is committed on its own. A row that fails leaves nothing behind and does not affect the other rows.
- A result report listing every row with a status (success or error) and a message.
Common questions
How is a row matched to an existing previous employer?
A downloaded row identifies its employer and job. A new row updates the employee’s previous employer with the same Employer and Employer Start Date if there is one, and its job with the same Job and Job Start Date; otherwise it creates them.
How do I add a job to an existing previous employer?
Add a row with the employer columns of the downloaded row, including Employer and Employer Start Date, and enter the new job.
How do I rename a previous employer or change its start date?
Change Employer or Employer Start Date on all downloaded rows of the employer. The downloaded row identifies the employer, so the new values replace the old ones.
How do I delete a previous employer?
Enter Yes in Delete Employer on one of its rows. Its jobs are deleted with it.
Can I maintain the assignment details of a previous job?
No. The assignments a previous job applies to are maintained in the Previous Employment window. Use Employer All Assignments or Job All Assignments to apply it to all assignments.
How do I enter descriptive flexfield values?
Use the Flexfields template. Its attribute columns show the segment prompts of your flexfield setup.
